AGENCY FOR CHILD RELIEF AID (ACRA), a non-governmental organization based in South Sudan, aims to provide sustainable livelihoods opportunities to support and transform the lives of the vulnerable children and populations both in South Sudan’s urban and rural areas.

ACRA faced several operational challenges before adopting ERPNext. With field offices spread across different states, managing procurement, expenses, payroll, and accounting for the different projects being undertaken was a daunting task. Manual processes and disjointed systems led to inefficient process approvals which sometimes took weeks—due to physical paperwork moving between distant offices.

Since most of the information was scattered, financial tracking across multiple projects was error-prone, and generating reports for donors was a tedious process. The implementation took 3 months and focused on these key areas: 

1. Accounting – Handling Budget codes and improving both the chart of accounts and financial reports. 
2. Expense Management – Digitizing claims and advances. 
3. Procurement – Improving document traceability and adding Cost Benefit Analysis functionality to aid in decision making.
4. Payroll – Simplifying salary processing for the various categories of staff based on different projects.
5. Workflows - Speeding up the approval process using notifications and authenticating approvals using e-signatures.
6. HR - Improving tracking of both volunteers and payroll staff.
7. Stock Management - Improving trackability of items and improve planning through automated material requests.

The results were impressive! With automated workflows, advance requests and procurement requests now moved seamlessly through digital approvals, greatly reducing processing time. Remote teams, once hindered by distance, could now collaborate in real time. 

Project budgets became easier to track, and custom reports—tailored to different donor requirements—could be generated with just a few clicks. The finance team no longer wasted hours reconciling spreadsheets; instead, they had instant access to accurate, up-to-date financial data. 

Perhaps the greatest outcome of all was the Staff morale that got lifted as tedious administrative burdens disappeared, allowing them to focus on meaningful work.
